A small business with frequent seasonal hiring needed a faster, more consistent way to move community students and other applicants from initial interest through interview, approval, documentation, and onboarding.

The challenge

The business relies on a seasonal workforce and frequently hires students from the surrounding community. Applications were completed on paper, handed in physically, reviewed manually, and then passed among employees responsible for interviews, approvals, documentation, and onboarding.

The process required significant administrative attention during already busy periods. Missing information was easy to overlook, applicant experience varied depending on who received the paperwork, and the team lacked one clear view of where each person stood.

Turnover was not necessarily a sign that the process had failed; it was part of the operating model. The hiring system therefore had to handle recurring volume, first-time applicants, school schedules, changing availability, and several internal handoffs without making the business rebuild its process every season.

What the workflow needed to accomplish

The approach

TechBoot rebuilt the application in Jotform with structured fields, required information, and a clearer mobile-friendly experience. Automated checks helped identify incomplete or inconsistent responses, while AI created concise summaries of relevant experience so internal reviewers could prepare more quickly.

AI supported organization and review; it did not rank applicants or make employment decisions. The workflow routed each completed application to the appropriate employees for human review, interview coordination, approval, documentation collection, and onboarding follow-through.

Notifications and handoffs were designed around the employees already responsible for hiring. Instead of expecting the team to monitor another disconnected system, the process surfaced the next action, kept the applicant record together, and made incomplete steps easier to identify.

Where AI helped—and where it stopped

AI was useful for checking whether structured responses appeared complete, flagging information that deserved attention, and turning a long application into a concise review aid. Those tasks reduced reading and administrative friction without requiring the business to build a large custom recruiting platform.

The boundaries were equally important. People remained responsible for interpreting experience, conducting interviews, making hiring decisions, reviewing documentation, and communicating with applicants. The automation organized the work; it did not replace judgment or accountability.

The outcome

The business replaced paper handling and repeated manual follow-up with a consistent digital process. Applicants received a more modern experience, internal employees had clearer ownership at each stage, and leadership gained better visibility into hiring progress during seasonal staffing cycles.

The new workflow saved administrative time, reduced avoidable back-and-forth, and created a repeatable foundation the business could continue improving as its staffing needs changed.

Because the solution was built around a recurring operating need, its value extended beyond one hiring push. The next seasonal cycle could begin with a working process, familiar responsibilities, and a clearer record of how applications moved from interest to onboarding.
